The Pilot Scheduler is responsible for creating and managing schedules for pilots and flight crews to ensure that all flights are properly staffed. This role involves coordinating with various departments to ensure compliance with regulatory requirements and company policies. The Pilot Scheduler will also monitor and adjust schedules in real-time to accommodate changes such as weather delays, aircraft maintenance, and crew availability.
Responsibilities include pilot trip coverage on all Delta flights while communicating expertly with Chief Pilot Offices (CPOs), Pilots, and administrative personnel.
This position operates in an office environment within Delta Air Lines Operations Center. The role may involve working under pressure due to the nature of the airline industry, with the need to make quick decisions and adjustments.
Schedule Coordination:
- Create and manage daily, weekly, and monthly schedules for pilots and flight crews, ensuring optimal coverage for all flights.
Compliance:
- Ensure all schedules comply with federal aviation regulations (FARs) and company policies, including crew rest requirements and maximum duty hours.
Communication:
- Serve as the point of contact between pilots, flight crews, and operations management. Communicate schedule changes and updates in a timely manner.
Real Time Adjustments:
- Monitor live operations and adjust schedules as necessary to accommodate delays, cancellations, or other operational disruptions.
Data Entry:
- Maintain accurate records of pilot hours, flight schedules, and any changes or deviations from the plan.
Problem Solving:
- Address scheduling conflicts and find solutions to last-minute changes or emergencies, such as crew shortages or unexpected aircraft maintenance.
Reporting:
- Prepare and distribute regular reports on crew scheduling, duty hours, and any regulatory compliance issues.

What you need to succeed (minimum qualifications)
High school diploma or equivalent required.
Strong organizational and time-management skills.
Excellent communication skills, both written and verbal.
Must possess strong analytical, interpersonal and decision-making skills and able to prioritize multiple tasks simultaneously in a fast-paced environment, while adhering to all PWA and FAR scheduling work rules.
Detail-oriented with a strong focus on accuracy.
Problem-solving skills.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Ability to work in a fast-paced environment and handle stressful situations.
Must be willing to work flexible hours, including nights, weekends, and holidays, as airline operations require 24/7 coverage.
Must be performing satisfactorily in current position.
Consistently prioritizes safety and security of self, others, and personal data.
Embraces diverse people, thinking, and styles.
Possesses a high school diploma, GED, or high school equivalency.
Is at least 18 years of age and has authorization to work in the United States.
What will give you a competitive edge (preferred qualifications)
- Bachelor’s degree in aviation management, Business Administration, or a related field.
- Prior experience in aviation, scheduling, or a related field.
