Job Summary


The Senior Executive Assistant manages the administrative needs of the Executive Vice President/Chief Operating Officer and the Executive Vice President/Chief Financial Officer to include their direct reports. 


Job Responsibilities


•    Manages the administrative needs of the Senior Executives and direct reports.

•    Exercises discretion and independent judgment in assisting Senior Executives 

•    Works under limited direction, determines and develops approach to solutions.

•    Consistently works on complex assignments requiring action and a high degree or initiative to resolve issues.

•    Acts independently to determine methods and procedures on new assignments.

•    Provides resolutions to an adverse range of complex problems.

•    Read outgoing correspondence for executive approval and alert writers to any conflicts or departure from policies or the executive’s viewpoint.

•    Interpret requests and help implement action, deciding whether executive should be notified of important, or emergency matters Interpret and adapt guidelines, including unwritten policies, precedents, and practices.

•    Prepare special reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources.

•    Give recommendations and feedback to improve the administrative process.

•    Issue and interpret operating policies.

•    Assist executive administrative details, often of a confidential nature.

•    Coordinate preparation of reports such as budget expenditures, statistical reports, or performance measures

•    Calendar management and meeting planning and coordination

•    Coordinates travel arrangements, expense report processing and reimbursement

•    Perform administrative functions such as composing correspondence, scheduling appointments, etc.

•    Interface with other executives internal/external to organization at the request of the Senior Executives

•    Support, communicate, reinforce and defend the mission, values and culture of the organization.

•    Contact or respond to contacts from high-ranking individuals inside or outside the corporation May involve unique situations where each contact must be handled differently, using judgment and discretion.

•    Special projects as assigned.

•    Ability to interact effectively at all levels and across diverse cultures.

•    Performs other duties as required.


Job Requirements:
Qualifications

•    An Associate’s degree in related discipline (or equivalent experience) plus 10 years’ experience in progressively responsible and varied office management  
•    Excellent writing and interpersonal communication skills 
•    Demonstrated ability to make independent judgment.
•    Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
•    Expert skills with Microsoft Word, Excel and PowerPoint
