Job Summary

The Express Facility Administrative Assistant plays a vital role in fostering an inclusive and efficient workplace through the management of administrative processes in support of employees at a particular station/location.

Responsibilities

Email Management and Communication

Check and Respond: Promptly manage emails to facilitate open communication.

Assist Employees: Address inquiries, ensuring everyone feels heard and supported.

Phone Management: Handle phone calls and queries from employees and trainees, maintaining clear communication.

Compile and distribute end-of-day reports summarizing daily activities, promoting transparency.

Employee Onboarding and Administrative Support

Process Documentation: Manage fingerprinting and badging paperwork for new hires.

Coordinate Onboarding Activities: Guide new employees through necessary documentation.

Complete Forms and Reports: Manage CBP forms, create rosters, and develop sign-in sheets to support operational needs.

Task and Team Management

Clear Exceptions and Review Reports: Handle exceptions in AOD and post call-outs and tardiness reports.

Participate in Team Meetings: Provide updates and engage in discussions to enhance workplace inclusivity.

Employee Assistance and Miscellaneous Tasks

Support Employee Inquiries: Address inquiries and follow up on requests.

Organize Files and Maintain Cleanliness: Ensure a welcoming work environment by organizing files and participating in office upkeep.

Minimum Requirements
  • Minimum of 1 year of experience in an administrative or HR role, with direct involvement in employee onboarding and office management.
  • High School Diploma or equivalent certification is required
  • Associate’s degree in business administration, human resources, or a related field is preferred.
  • Relevant certifications are a plus.
  • Proven experience in email and communication management, including handling employee inquiries and managing documentation.
  • Familiarity with tools and software for tracking employee hours and managing training sessions.
  • Must be able to read, write, and speak English effectively to communicate effectively with employees and stakeholders.
  • Proficiency in other languages is a plus, enhancing communication with a diverse workforce.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to define and address problems requiring analysis of multiple variables or situations, collect data, establish facts, and draw valid conclusions. Ability to exercise judgment within broadly defined practices and policies to create and select appropriate strategies. Ability to interpret a wide variety of technical instructions in mathematical or diagram form and deal with multiple abstract and concrete variables.

  • Ability to read, write, fluently speak and understand the English language
  • Ability to handle the stress of a fast-paced eight-hour shift.
  • Ability to learn PC skills and apply knowledge.
  • Ability to concentrate on detail
  • Prior office experience that reflects a high level of responsibility, urgency and the ability to quickly grasp and implement new concepts.
  • Ability to prioritize and meet time sensitive deadlines
  • Ability to work both independently and in a collaborative environment
  • Attention to detail and exceptional organizational and time management skills
Physical Requirements/Working Conditions
  • Remain in a stationary position 50 of the time.
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer.
  • Walk short distances.
  • Reach above and/or below shoulder.
  • Handle/grasp documents or office equipment.
  • Sit and/or stand for short or extended periods of time.
  • Lift/carry/move objects, files and documents up to 10 pounds.
  • Work in an office environment using standard office equipment.
  • Talk, listen, and speak clearly on telephone.
  • Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
