As a FBO Operations Executive at Jet Access, you will serve as a critical partner to the EVP of FBO Operations and the EVP of FBO Development, providing high-level administrative and operational support across our Fixed Base Operations division. This role ensures seamless coordination of leadership activities, project management, data reporting, and internal communications while maintaining the highest standards of organization and follow-through. Your success will be measured by your ability to anticipate leadership needs, drive project completion across departments, and enhance operational efficiency while embodying our core values.

 

Day in the Life:

As the FBO Operations Executive at Jet Access, youll provide comprehensive support to FBO leadership while driving operational excellence across multiple functions. Heres what your role encompasses:

Leadership & Administrative Excellence:

    • Manage complex calendars, coordinate high-priority meetings, and arrange travel logistics for the FBO leadership team.
    • Serve as a primary point of contact for internal and external stakeholders, ensuring professional communication nd swift issue resolution.
    • Draft, proofread, and edit leadership correspondence, presentations, and reports with precision and attention to detail.
    • Handle sensitive and confidential information with discretion while maintaining the highest level of professionalism.
    • Prepare comprehensive meeting agendas, capture detailed minutes, and track key decisions and action items.
    • Monitor leadership deliverables and follow-up requirements to ensure timely execution of strategic initiatives.

Cross-Departmental Coordination & Project Management:

    • Drive alignment across departments by tracking action items, deadlines, and deliverables related to FBO projects, finance, operations, and compliance.
    • Act as a liaison between leadership and internal teams, proactively following up on assigned tasks to confirm execution and identify potential roadblocks.
    • Maintain sophisticated tracking systems for key initiatives, ensuring clear accountability and documented progress.
    • Coordinate multi-departmental projects from inception to completion, facilitating communication and resource allocation.
    • Regularly update leadership on project status, outstanding tasks, and strategic next steps.

FBO Operations & Strategic Support:

    • Assist in research, planning, and execution of FBO expansion initiatives, new business opportunities, and special projects.
    • Support contract management for hangar leasing, fuel agreements, vendor negotiations, and regulatory compliance requirements.
    • Develop and maintain organized databases of key performance metrics, financial reports, customer surveys, and safety data.
    • Conduct pricing analysis and assist in preparing financial models, forecasts, and budget reports.
    • Coordinate department-wide meetings, training sessions, and team-building events.
    • Maintain current knowledge of FAA regulations, FBO industry trends, and competitive benchspans.

Team & Client Relations:

    • Provide administrative and operational support to FBO managers across all locations, helping streamline processes and improve efficiency.
    • Facilitate sharing of best practices, performance insights, and operational updates across FBO locations.
    • Coordinate with vendors, fuel providers, and aircraft operators to streamline communication and resolve operational issues.
    • Provide exceptional support to high-profile clients and aviation partners.
    • Support spaneting and branding efforts related to FBO operations, including event planning and promotional materials.
    • Take on special projects and other duties as assigned to support departmental goals.

Core Schedule:

  • Days: Monday thru Friday (In-Office)
  • Variable hours based on leadership schedules and project demands.
  • Willingness to travel as needed.
  • Prior experience in General Aviation and line service is strongly preferred.
  • High School Diploma or General Education Degree (GED).
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to lift and or move up to 50lbs.
  • Employee must be able to stand regularly and stand for up to 8 hours while bending, kneeling, stooping, and reaching.
  • Proficient computer skills.
  • Must possess a valid state Drivers License.
  • Previous client service experience preferred.
  • Must successfully pass a background check and drug test.
  • Ability to read and respond to email communications.
