Job Summary:

We are seeking an Administrative Assistant for our Ground Support Equipment/Special Purpose Maintenance contract at the NASA Armstrong Flight Research Center. The ideal candidate will have comprehensive administrative skills and experience, and will be responsible for various administrative tasks to support equipment maintenance operations.

Key Responsibilities:

  • Process Equipment Repair Orders:

    Accurately process and track repair orders for equipment maintenance.
  • Report Preparation:

    Prepare monthly and periodic reports as required.
  • Record Maintenance:

    Maintain historical files for equipment and update records in Excel spreadsheets and Access databases.
  • Documentation Development:

    Develop and maintain spreadsheets, forms, and documents as needed.
  • Customer Service:

    Handle customer service calls professionally and work with customers and shop leads to schedule maintenance.
  • Transaction Processing:

    Process credit card transactions accurately and efficiently.
  • Training Records:

    Maintain accurate training records for employees.
  • Software Assistance:

    Assist other employees with questions related to computer software.
  • Backup Duties:

    Serve as a backup for the purchasing/tool crib employee in their absence.
  • Additional Tasks:

    Perform additional administrative tasks as assigned by the Admin Lead.

Qualifications:

  • Experience:

    Minimum of 5 years of work experience in the administrative field with substantial computer experience.
  • Knowledge:

    Comprehensive knowledge of administrative assistance practices and personal computer software, including Microsoft Office.
  • Office Equipment:

    Familiarity with basic office machines required to perform duties.
  • Typing Proficiency:

    Ability to type at least 45 words per minute.
  • Communication Skills:

    Ability to read and interpret work instructions and other oral and written technical guides. Comfortable with receiving and making customer-related phone calls.
  • Automotive/

    Equipment Maintenance:

    Experience in the automotive and equipment maintenance field is desirable.
  • Background Check and Drug Screening:

    Successful completion of a background check and pre-employment drug screening are conditions of employment.
