Administration Coordinator (Full Time)
Department: All Openings, Administration, Marketing & Sales
Essential Job Functions
Develops, updates, maintains, manages and distributes various reports and schedules, including but not limited to; Dealer Commitment Schedules, Inventory Reports, Department Metrics, & Dealer Metrics.
Coordinates development, issuance and maintenance of dealer and affiliate sales and ensures yearly contract exhibit updates and contractual requirements for worldwide dealers and authorized sales representatives are accurately maintained and communicated.
Assist with contractual language rewrites and negotiations on any changes and negotiations to Piper’s Dealer Agreement, Policy and Procedures Manual or any of the attachments within the Dealer Agreements.
Assists in the coordination of dealer events and projects, including United States and International dealer meetings.
Manage Safety communication and actions required from Piper’s Safety and Environmental office. Assists with monthly training and reporting for Marketing, Sales, &Order and Delivery.
Records Management within the Marketing, Sales, Order and Delivery departments. This includes communicating to team members on creating, identifying, retaining and disposing of company records to ensure that records retention practices are pursuant to Piper’s policies and procedures.
Manages travel arrangements as required.
Coordinates customer and prospect visits to the Piper facility, consistently enhancing the customer experience.
Performs administrative duties to include, but not limited to, answering customer inquiries and critical email correspondence.
Notary certification preferred to notarize documents as necessary.
Prepares material such as correspondence, reports, charts, and presentations using Microsoft PowerPoint, Excel and Word.
Coordinate office activities and operations to secure efficiency and compliance to company policies.
Support budgeting, accounting, invoicing and bookkeeping procedures
Maintains office supplies, customer lounge supplies
Process quarterly Co-Op Advertising requests and maintain Co-Op database. Review submissions, determine reimbursement and insure timely payment.
Provide back up support for the Pilot Shop when needed
Administer and perform special projects as necessary
Perform other duties as required.
